EXHIBITOR Information (FRANÇAIS)

Booth Specifications:
Services offered by Legault Decorating Ltd.
Booths are assigned on a first come, first-served basis.
Booths will be 8’ high and the side dividers 3’ high.
Included with each booth is:

8’ X 10’ standard booth drapery
1 - 2’ X 6’ skirted table
2 - arm chairs
Electrical (if required)

Terms:
Four hundred and fifty dollars ($450.00) sponsorship charge for early birds must accompany the enclosed application form in order for it to be accepted. The application form is due no later than April 28th, 2008.
The sponsorship charge after April 28, 2008 is six hundred dollars ($600.00).
Once an application has been accepted and approved, cheques will be non-refundable and the space and money will be disposed of at the discretion of the organizers, without any liability of any kind.

Installation and Dismantling of Exhibits:
Installation of exhibits can begin at 8:00 am on Thursday, May 29th, 2008 and must be complete for 11:00 a.m.
It is the responsibility of exhibitors to set up their own exhibits.
Exhibitors have until 21:00 on May 29th, 2008 to dismantle exhibits. Any exhibits not dismantled by 21:00 will be dismantled, packed and placed into storage and the exhibitor will bear the costs.
Signs and other articles are not to be fastened to floors, walls, or electrical fixtures.

Shipping:
Packages (boxes) can only be shipped up to 15 hours prior to conference. All parcels must be addressed to the ATLANTIC REGION RAILWAY CONFERENCE – CONVENTION CENTRE and they will be held for you until your arrival.

Liability:
Exhibitors are responsible for any and all damages to the Hotel facilities and equipment, whether caused by transportation, installation or dismantling of displays, posters, signs, whether this damage is caused by those in attendance, or their employees and/or guests.
The Exhibitor/Lessee agrees that it will indemnify and save harmless at all times the Organizing Committee and the Hotel, from all claims, demands, suits or actions of every kind, including claims or rights created by statute for loss,
expense, damage or injury (including death) to persons or property, caused or
contributed to by reason of the Exhibitor’s occupation of the exhibit space, or by any act or omission of the Exhibitor/Lessee in connection with its delivering, setting up or dismantling its exhibit, or exhibiting, promoting or selling its products or services at the Atlantic Region Railway Conference, or by reason of the Exhibitor/Lessee failing to comply with the provisions of the Agreement.

RENSEIGNEMENTS DESTINÉS AUX EXPOSANTS

Caractéristiques des stands :
Services offerts par Legault Decorating Ltd.
Les stands seront attribués selon l’ordre des inscriptions.
Les stands auront 8 pi de hauteur et les cloisons latérales auront
3 pi de hauteur. Chaque stand comportera :

des draperies de stand standard de 8 pi sur 10 pi,
une table munie d’une nappe de 2 pi sur 6 pi,
deux fauteuils pourvus de bras,
l’alimentation électrique (au besoin)

Conditions :
Un versement de 450 $ pour le coût du parrainage doit accompagner la formule de demande ci-jointe pour que la demande soit acceptée. Pour les exposants hâtifs, la formule de demande doit nous parvenir au plus tard le 28 avril prochain.
Le coût du parrainage après le 28 avril 2008 sera de 600 $.
Une fois une demande acceptée et approuvée, les chèques ne seront plus remboursables et les organisateurs disposeront des lieux et des fonds à leur discrétion, sans assumer quelque responsabilité que ce soit.

Installation et démontage des stands et éléments d’exposition :
L’installation des stands peut débuter dès 8 h le 29 mai 2008 prochain et elle doit être terminée avant 11 h 00.
Il incombe aux exposants de monter leurs propres stands et
éléments d’exposition.
Les exposants ont jusqu’à 21 h le 29 mai prochain pour démonter les stands et éléments d’exposition. Les stands non démontés avant 21 h seront démontés, empaquetés et entreposés aux frais de l’exposant.
Il est interdit de fixer des panneaux, enseignes et autres articles aux planchers, aux murs ou aux appareils d’éclairage.
Expédition : Les colis (boîtes) pourront seulement être expédiés dans les
15 heures précédant la conférence. Tous les colis devront être adressés aux CENTRE DE CONGRÈS, CONFÉRENCE DU CHEMIN DE FER DE LA RÉGION DE L’ATLANTIQUE et on les y conservera jusqu’à votre arrivée.

Responsabilité :
Les exposants assument la responsabilité de tous dommages aux installations et au matériel de l’hôtel, peu importe qu’ils soient causés par le transport, l’installation ou le démontage des stands, d’affiches, de panneaux, ou par les personnes présentes, les employés des exposants ou des invités.
L’exposant/le locataire convient d’indemniser en tout temps le comité
d’organisation et l’hôtel contre toute réclamation, demande, poursuite ou action de tout genre, y compris les réclamations ou droits découlant de lois, face aux pertes, dépenses, dommages à des biens ou blessures de personnes (y compris les décès) causés par l’occupation du lieu d’exposition par l’exposant, ou y étant attribuables, ou par tout acte ou omission de l’exposant/du locataire relativement à la livraison, au montage ou au démontage du stand ou des éléments d’exposition, ou à l’exposition, la promotion ou la vente de ses produits et services lors de la Conférence du chemin de fer de la Région de l’Atlantique, ou encore par l’omission de l’exposant/du locataire de se conformer aux dispositions du contrat.
